Exportable PDF packages for BMS upload

Intake happens outside the BMS — records should still land there

Ontario brokers collect most pre-bind documents outside their broker management system: email, text, client portals, carrier sites, and phone follow-ups.

The BMS is the long-term system of record for policies, eDocs, and client folders. But the organized intake package often never gets there — only the bound policy and a few attachments.

Principals reviewing files for spot checks find incomplete folders because the chase happened elsewhere.

What the Hivi-X PDF export is

When checklist intake is complete, Hivi-X generates a checklist PDF report you download from the client record.

The package summarizes:

  • Checklist items and their status
  • The organized intake your team tracked in Hivi-X
  • A single artifact suitable for BMS client-folder upload or internal compliance review

It is an export step — not an automatic CSIOnet or BMS API push.

Typical workflow

  1. Complete intake in Hivi-X (ID, dec page, abstract, application, disclosure items, etc.)
  2. Approve or reject client uploads on each checklist line
  3. Add voice notes or advice summaries if needed
  4. Generate and download the PDF package
  5. Upload to Applied Epic, Vertafore SIG, Power Broker, or your brokerage document store

Your BMS remains the archive. Hivi-X is the collection and organization layer in front of it.

Why a PDF package beats a folder of email attachments

Email folder uploadHivi-X PDF export
Files arrive out of orderChecklist order preserved
No status per itemSubmitted / approved / rejected tracked
Hard to review for spot checksSingle summary artifact per file
Mixed formats and namingConsistent export per template

RIBO expects producible electronic records under O. Reg. 991. A structured export supports retrieval — it does not replace your retention policy.

What the export does not do

Hivi-X PDF export does not:

  • Ingest CSIOnet eDocs from insurers
  • Sync automatically to Epic/SIG document APIs
  • Replace native BMS document management
  • Certify RIBO compliance

It gives producers a clean handoff artifact after checklist-driven intake — the gap between "collected in email" and "stored in the BMS."

Frequently asked questions

Does Hivi-X integrate directly with Applied Epic or SIG?
No automatic BMS integration in v1. You export a PDF package from Hivi-X and upload it to your BMS client folder manually.
What is in the exported PDF?
A checklist report showing items, status, and the organized intake summary your team completed in Hivi-X. Exact layout follows the checklist template on the client record.
Is the PDF RIBO-certified?
No. The export helps organize intake for your records. Compliance outcomes depend on what your brokerage collects and retains under current RIBO guidance.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
