RCIC intake training is not "watch how I do email"

RCIC intake training is not "watch how I do email"

New hire watches senior consultant forward WhatsApp photos to themselves for three days. Certified. First solo ITA file: employer letter accepted without key fields the firm requires. Firm discovers late in the ITA window.

Direct answer

Train Ontario RCIC new hires on documented checklist intake standards — templates, reject criteria, guest link, same-day channel filing, communication logs — with supervised co-agent QC before solo ITA work. Email shadowing is not a curriculum.

Under the Code of Professional Conduct for CICC licensees, a licensee typically must supervise and assume professional responsibility for work done by people who assist in immigration or citizenship consulting services, with supervision adequate for the type of work. Intake training is how firms make that supervision real — not a substitute for the licensee’s professional duties. Confirm current College requirements with counsel or your compliance lead.

What to document (not "use judgment")

StandardDocument it
Photo / scan QCFirm one-pager aligned to current IRCC specs for the stream (specs can differ by application type)
Employer letter fieldsFirm checklist lines for the programs you run (EE, OINP, etc.) — verify against current program guidance
Representative / authorization formsWhen the firm will act as representative — typically collected at open; follow current IRCC form rules
iMessage / WhatsApp / email dumpsSame-day file-to-checklist rule so chats do not become the only copy
TranslationTranslator identification + certification copy when required

See small firm standardization, intake admin queue, principal oversight.

Why firm SOPs beat “watch my inbox”

CICC licensing and college education cover professional and regulatory foundations. They do not replace your firm’s reject criteria for Tuesday’s blurry passport scan. Client file management rules generally expect a retrievable client file with the documents and correspondence that belong on the matter; firms that leave QC “in people’s heads” produce inconsistent files and harder supervision.

Training week structure

Day 1–2: Template library, guest link sends, missing-item dashboard tour.

Day 3–4: Sandbox reject/resubmit — photos, wrong file types, incomplete letters.

Day 5+: Co-agent on live files with principal spot-check; consultant eligibility lane only after QC lane is proven under supervision.

Myth: "College taught them files." College taught the profession’s baseline — your firm teaches how blur gets rejected on this template.

Frequently asked questions

What should RCIC intake training cover?
Checklist templates per program, guest link workflow, approve/reject criteria, communication logging, representative forms when the firm acts as representative, chat-to-checklist same-day rule, and export for the client file. Firm SOPs — not only college curriculum.
Should admins train separately from consultants?
Admins often own upload QC lanes; consultants own eligibility review — train both on checklist standards, different depth. The licensee still supervises assistants adequately for the work they do.
How long until new hires handle ITA files?
After supervised QC on non-urgent files with principal review — firm policy, not a software gate or CICC timeline.
Does Hivi-X provide training content?
Reusable checklist templates and co-agent access support training; your firm defines reject criteria and supervision steps.
What is the biggest new-hire intake mistake?
Accepting blurry or incomplete documents to avoid client conflict — passes the problem to the senior RCIC at portal submit.
