Pre-bind intake vs policy admin system for Ontario brokers

Pre-bind intake vs policy admin system for Ontario brokers

Epic is where the policy lives. Epic is also where CSRs dump renamed PDFs at 5:01 p.m. because nobody tracked what was missing before bind. Wrong tool for the pre-bind chase.

Direct answer

Split the stack: Hivi-X = pre-bind intake (checklist, portal, QC, completeness). BMS = policy admin (rating, bind, endorsements, accounting). Export a PDF bridge between them. Not two sources of truth — two phases of one file.

Compare: BMS vs document collection, Applied Epic vs QC.

GTA brokerage reality

Producers quote in the BMS. CSRs chase in email. Client sends the abstract twice — once to the CSR, once through a broken portal link. An intake layer ends the duplicate chase by making each required line visible.

RIBO record-keeping still lives primarily in brokerage notes, emails, and BMS entries. Intake software helps prove what documents arrived; it does not replace disclosure confirmations or the policy admin system of record.

Not shipped: Epic API sync, automated client reminders, binding authority in Hivi-X, compliance certification.

Frequently asked questions

Does Hivi-X replace Applied Epic?
No. Intake before bind; Epic (or your BMS) after for rating, bind, endorsements, and accounting.
Where does the client upload?
my-id.ca portal or guest link, or the CSR uploads offline docs — export lands in the BMS client folder.
Can CSR work only in Hivi-X?
Many do for intake; the producer binds in the BMS when the checklist is complete enough for your markets.
Duplicate data entry?
Minimize — export a PDF package rather than retyping every field. There is no Epic API sync.
Commercial submissions?
Often a heavier submission set — same intake idea, different template. See personal vs commercial intake if your desk splits lines.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
