SharePoint vs structured RCIC document intake

SharePoint vs structured RCIC document intake

Direct answer

Ontario RCIC firms can store immigration documents in SharePoint. They should not rely on SharePoint alone for structured intake — because folders hide what is still missing when an ITA or filing clock is running.

CICC Client File Management expectations still apply wherever you store files: open a client file when the retainer is signed, keep records secure and accessible, and retain closed files for the minimum period required (commonly framed as at least six years after the file is closed — confirm current CICC regulation text). Folder trees do not prove item-level completeness.

Where SharePoint stops

SharePoint is not wrong. It is the wrong front door for clients who need “upload your employer letter here” — not “figure out our folder tree.”

The pain RCICs feel in the GTA

A Mississauga firm with three consultants and one admin often runs:

  • SharePoint for final archives
  • Email and WhatsApp for chase
  • Google Sheet for “who sent what”

On day 45 of an ITA, someone opens the folder and finds three bank statements but no approved translation. That is an ops failure, not an IRCC surprise.

What Hivi-X adds (without CRM claims)

Hivi-X is checklist-first intake:

  • Reusable templates per program (Express Entry, spousal, study permit)
  • Missing-item dashboard per client file
  • Approve/reject/resubmit on each line
  • Guest link with email OTP for overseas clients
  • Co-agent for admin + RCIC on the same file
  • Exportable PDF for SharePoint or your CICC-oriented client archive

It does not file to IRCC, replace your case-management CRM, replace SharePoint as long-term archive, or send automated reminder emails (not shipped).

Frequently asked questions

Can Ontario RCIC firms use SharePoint alone for client intake?
You can store files there, but folders do not encode item-level status, client upload QC, or a per-file completeness view principals need during ITA season.
Does Hivi-X replace SharePoint or my immigration CRM?
No. Hivi-X is document collection and QC. Many firms export a PDF package into SharePoint or their CRM after intake is complete.
What does SharePoint miss for RCIC intake?
Approve/reject per document, guest upload without account creation, missing-item dashboard, and co-agent visibility on the same checklist — not just who edited a folder last.
Is Canadian hosting required for RCIC client files?
PIPEDA does not prescribe a single hosting country in every case, but many Ontario firms prefer Canadian-hosted collection for client trust and contractual promises. Hivi-X uses AES-256-GCM encryption on Canadian infrastructure for uploaded client documents. Confirm your privacy notice and CICC file-security duties separately.

Collect complete immigration client files without the chase

Hivi-X helps Ontario RCICs collect passports, police certificates, employer letters, and IRCC forms with reusable checklists, the my-id.ca client portal, self-hosted AI summaries, and exportable PDF packages for your client file archive — alongside your immigration CRM.
