Two layers, two jobs

Immigration case management is the system that answers: What stage is this file in? When is the next deadline? What did IRCC send? How do we invoice?

Document intake answers a different question: What did we request? What is still missing? Is this police certificate readable? Is this employer letter acceptable before we upload?

Ontario RCICs often conflate the two because both live on the same client file. They are related, but not interchangeable.

Where case systems excel

A mature case system — Immigration Tracker, INSZoom, Docketwise, or a Canada-focused RCIC CRM — typically handles:

A common Ontario RCIC setup:

  1. Case system — stages, IRCC portal prep, billing, trust accounts
  2. Document intake layer — reusable checklists, guest link or my-id.ca uploads, missing-item dashboard, approve/reject/resubmit
  3. Export — organized PDF package for CICC records and portal prep

Rarely. Case systems excel at deadlines and status. Document intake needs missing-item views, per-item approve/reject, and mobile-friendly uploads tuned for 15–40 supporting documents.
Can one CRM handle both?
Many CRMs include document modules, but teams often outgrow them when intake volume rises. A dedicated intake layer sits beside the CRM without replacing it.
Where does IRCC filing happen?
Through the IRCC representative or applicant portal from your case system or manual workflow. Document intake prepares and QC's the package your team uploads separately.
What should Ontario RCICs prioritize first?
If deadlines are slipping, fix case tracking. If returns and rework come from bad uploads, fix the intake layer first.
Does a PDF export satisfy CICC file rules by itself?
No. CICC expects licensees to maintain a secure, accessible client file and retain closed files for a minimum of six years after closure (confirm current regulation). Export is a packaging aid — not a compliance certificate.
