Void cheque and deposit trust account QC for realtors

Void cheque and deposit trust account QC for realtors

Direct answer

A void cheque confirms banking details. A TRESA trust deposit is money the brokerage received for someone else. Ontario rental files mix the two in email threads and then fail Friday QC.

If your team still collects a void cheque because the landlord or brokerage asked, QC it as its own labelled item. Do not tell clients a void cheque is legally required for every Ontario lease — and do not treat a cheque photo as proof that last-month’s rent is already in trust.

Void cheque / direct-deposit formImage of account numbers for optional PADDocument QC + privacy. Not a cash deposit
Rent payment methodHow the tenant will pay rentOntario’s Residential Tenancies Act, 2006 s.108 says a landlord or tenancy agreement shall not require post-dated cheques/negotiable instruments or automatic debiting/charging for rent. Tenants may still agree to a method. Do not draft legal conclusions for the parties
Trust moneyFunds in the brokerage’s hands for another personO. Reg. 567/05 theme: deposit into the designated Real Estate Trust Account within five business days of receipt. Receipts and ledgers stay with brokerage accounting

Hivi-X stores documents. It never holds trust funds and is not trust software.

What realtors should verify when the cheque is collected

QC checkFail example
Name matches photo IDJoint account; applicant not listed
VOID clearly markedLive cheque photo — not voided
Full MICR line visibleBottom third cropped
Institution still plausibleOld cheque; closed-account story
Correct checklist itemUploaded as “proof of income”
Need-to-know sharingBanking details forwarded in a group chat

Reject cropped photos with a one-line reason. Approve only when the receiving party could actually set up what they asked for — or when they accepted an alternate form in writing.

Why email void cheques create rework

Ontario agents often see:

  • Void cheque in the same iMessage thread as ID
  • Roommate’s cheque uploaded by mistake
  • Cropped PDF with an account number and no institution
  • Landlord rejects Friday; the file never had a QC’d image
  • Someone treats the cheque photo as if last-month rent were already receipted in trust

Attach the void cheque as its own item on the rental application checklist. Approve or reject before the package goes to the landlord or transaction coordinator. Pair deposit money evidence with trust deposit receipt documentation.

Intake workflow

  1. Checklist item: Void cheque or accepted banking form — separate from pay stubs and separate from trust receipts
  2. Secure upload — guest link (email OTP) for tenants avoiding extra accounts
  3. Reject with reason — “Bottom transit line cut off — please retake the full cheque”
  4. Co-agent review — coordinator sees approval status
  5. Export — bundle only what the landlord actually requested; keep trust receipts on their own lines

Hivi-X does not send automated reminders, replace your BMS, or certify RTA or TRESA compliance. Canadian-hosted storage with AES-256-GCM encryption at rest.

Client message template

If the landlord asked for banking details, upload a void cheque (VOID written across it) or the exact form they named — full document visible, name matching your ID. This is account information, not your rent payment. Do not send a live unsigned cheque.

Clear, calm — one item, one standard. Payment-method rights stay with counsel and the parties.

Frequently asked questions

Why do landlords request void cheques?
Often for optional pre-authorized debit setup or a record of banking details. Requirements vary by landlord and brokerage. Confirm whether the ask is permitted for that tenancy — Ontario law limits requiring automatic rent payment.
What void-cheque QC checks matter?
Account-holder name matches the applicant’s ID, transit/institution/account numbers visible, VOID marked, full cheque not cropped, not an old cheque from a closed account, and the file sits on the correct checklist line.
Can tenants send a mobile banking screenshot?
Some landlords accept a direct-deposit form or screenshot; others want a VOID cheque image. Reject with a reason if the receiving party’s spec is not met — do not invent a statutory format.
Is a void cheque the same as putting rent in the brokerage trust account?
No. A void cheque is account information. Trust handling starts when money comes into the brokerage’s hands. Those are different records.
Where should approved void cheques live?
On the tenant checklist record — not only in email — before anyone forwards banking details. Banking data is personal information; follow brokerage privacy rules.
