Adobe is downstream of "what we need signed." Intake is upstream visibility of "what we still need."

Ontario Reg. 991 generally permits required records to be kept electronically if the member guards against falsification and can produce them in intelligible form within a reasonable time. Signed Adobe PDFs help only if they are filed where your firm can retrieve them with the rest of the client record — confirm which records your firm treats as required with compliance.

Where Adobe-only workflows break

Common Ontario brokerage gaps:

  • Application signed in Adobe — abstract never arrived
  • Disclosure PDF e-signed at bind — quote-time disclosure conversation not documented elsewhere
