PIPEDA consent is not a one-time checkbox — it is a retained record that must match the privacy notice version the client actually saw.

Ontario RCICs should retain signed PIPEDA consent and privacy notices for the life of the client relationship and through the firm's post-closure retention period. CICC's Client File Management Regulation requires the client file — where consent records normally live — to be kept in a secure, accessible location for a minimum of six years after the file is closed, with a projected destruction date recorded at closure (see CICC client file management; verify against current CICC requirements). PIPEDA itself sets no fixed retention period — OPC guidance says keep personal information only as long as needed for the identified purpose, under a documented retention-and-disposal policy, and information used to make a decision about a person must be kept long enough for them to access it. Do not delete consent when IRCC submits; do not keep only a CRM tick box without the PDF.

When material changes affect collection/use, obtain updated consent and retain both versions with dates. Reject uploads of an old template after you publish a new one.
Is email OK for consent?
Your firm chooses the form — signed PDF upload is common. The record must show what the client agreed to and when. Hivi-X stores the approved upload, not legal validity.
Does withdrawal of consent delete the old form?
