Multi-brand brokerage intake templates (Ontario)

Multi-brand brokerage intake templates (Ontario)

Three logos on the website should not mean three different void cheque emails to the same household.

Direct answer

Ontario multi-brand brokerages should run one checklist template per line of business, record brand/MGA on the client record, and share household document lines across policies. Add brand-specific lines only for real carrier deltas (for example, habitational photo pack vs auto abstract).

Template architecture

TemplateCore lines (all brands)Brand-specific add-ons
Personal autoID, abstract, dec page, app, PADHigh-risk supplement if MGA requires
HomeownerID, application, panel photoCarrier habitational questionnaire

LineSame reject rule all brands?
Void cheque MICR visibleYes — firm SOP
Abstract date windowYes — per firm/MGA policy
RIBO disclosure recordYes — brand-specific PDF ok

Disclosure timing still follows RIBO expectations (no later than quote) even when the letterhead changes — see mandatory disclosures at quote.

Related: multi-policy household duplicates, small brokerage standardization.

Tool fit

Hivi-X helps as a shared template library with approve/reject and PDF export into whatever BMS each brand uses. It does not sync MGA portals, auto-select markets, or replace Commission Disclosure statements.

Solo single-brand shop with ten files a month? One LOB template in email may be enough. Multi-desk, multi-logo books pay for consistency.

Frequently asked questions

One template or one per MGA?
One per LOB at minimum; add MGA-specific lines only where carriers truly differ — avoid a dozen near-duplicate templates.
How do brands differ on the file?
Keep brand/MGA as client metadata in CRM/BMS; the checklist covers documents, not letterhead marketing.
Shared household docs?
Reuse approved household lines across auto and home files per SOP — see the multi-policy household article.
White-label portal?
Document collection can stay brand-agnostic; disclosure PDFs and Commission Disclosure materials still follow each brand’s RIBO records.
Does Hivi-X integrate MGAs?
No. Export PDF packages to your BMS per brand workflow.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
