One checklist, many applicants

Build reusable household templates:

Principal — passport, language test, ECA, police cert, employment docs (as required)
Spouse — same core set plus relationship evidence where needed
Each dependent — passport, birth cert, medical (if applicable)

Clients upload via guest link or portal onto the named line. You approve per item. The missing-item view answers: "Is the household ready?" — not "Did we get email today?"

Frequently asked questions

One file or one per family member?
Most firms use one household client record with checklist items labelled by applicant — Principal passport, Spouse police cert, Child 1 birth certificate. Some matters still need separate retainers or applications — follow your program and CICC process.
What about different emails per family member?
A coordinator often uploads on behalf of dependents, or you use guest access tied to the primary client email per your access and privacy policy.
How do you avoid duplicate police certificates?
Separate line items per person with approve status — the dashboard shows who is still todo.
Does this work for Express Entry and sponsorship?
Often yes. Template the section headers; swap program-specific items per matter type. Confirm current IRCC document lists for each program.
