Why third-party AI is risky on immigration files

Immigration client files contain passports, police certificates, financial records, and relationship evidence. Sending voice or document content to US-hosted consumer AI tools creates PIPEDA and confidentiality concerns — CICC obligations are indefinite.

Hivi-X approach: self-hosted AI

Voice notes recorded on the client checklist are summarised by AI on infrastructure Hivi-X operates in Canada. No third-party AI provider receives client content.

Human review remains mandatory

AI summaries support file documentation — they do not replace professional judgment, immigration advice, or complete communication logging. Review summaries before relying on them in client files.

AI upload-to-item matching — auto-classify client uploads to checklist lines — is on the roadmap, separate from voice summary. Not available in v1.

Frequently asked questions

Does Hivi-X send client data to ChatGPT?
No. AI processing uses infrastructure Hivi-X operates. Client data is not sent to OpenAI, Google, Anthropic, or other third-party AI providers.
Is AI summary a substitute for communication logs?
No. It supports consultation documentation on the checklist. You still log email, text, and WhatsApp per CICC requirements.
What about AI upload-to-item matching?
Coming soon — separate from voice summary. Today, RCICs classify uploads manually with approve/reject per checklist line.
