Much of Ontario insurance brokering happens by phone. A producer explains coverage options, discusses deductibles, reviews exclusions, and documents what the client decided.
RIBO's Code of Conduct and suitability guidance expect client files to show:
- Needs analysis

If that conversation happened on a call and never made it into the file, the brokerage has advice without proof — a weak position during spot checks and E&O reviews.
The note-taking problem
Producers intend to write file notes after every call. In practice:
- The next call starts before the last note is saved
- Notes go into the BMS free-text field with no structure
- CSRs cannot see what was discussed when the client calls back
- Principals cannot verify advice documentation across producers
Voice capture at the moment of the conversation closes the gap — if it lands on the client record in a usable form.
Voice notes on the client file
