Voice notes for psychotherapy intake calls

Voice notes for psychotherapy intake calls

When intake happens by phone

Many Ontario psychotherapists conduct a 15–20 minute screening call before booking session one. Details from that call — presenting problem, urgency, modality fit, insurance type — often never reach the structured intake file if they stay in the therapist's memory or a personal voice memo app.

Hivi-X lets you record an intake-call recap on the client file and generate a summary against checklist lines using self-hosted AI.

How it works

  1. Complete or partially complete the intake checklist
  2. Record a voice note after the screening call
  3. Self-hosted AI summarizes content against checklist context
  4. Review the summary before session one
  5. Export with the rest of the intake package

Product truth

  • AI processing uses infrastructure Hivi-X operates — not OpenAI, Google, or Anthropic
  • Voice + AI summary requires Professional tier ($59 CAD/mo) or higher
  • Summaries support intake admin — they do not replace clinical session documentation

General information for Ontario psychotherapists and counselling practices only. Not legal, clinical, privacy, or psychotherapy advice. Not affiliated with or endorsed by CRPO or any college. Hivi-X is document-collection software — it is not a licensed psychotherapist, does not provide psychotherapy or clinical assessments, does not certify PHIPA or CRPO compliance, and does not replace your EMR or clinical record obligations. You remain the health information custodian under PHIPA. Consult qualified counsel and your professional liability insurer.

Answers are general operational information only — not legal, tax, regulatory, clinical, privacy, immigration, or professional advice. Requirements vary by matter, client, and regulator.

Frequently asked questions

Can Hivi-X transcribe intake phone calls?
Yes on Professional tier and above. Voice recording is summarized with self-hosted AI against checklist context — not sent to third-party AI providers.
Should I record intake calls without client consent?
Obtain appropriate consent before recording calls that contain PHI. Recording policies are your professional and legal responsibility.
Does voice summary replace session notes?
No. Voice summaries support intake documentation. Session notes and treatment plans remain in your EMR under CRPO Standard 5.1.
