AI summaries for insurance client files
AI summaries for insurance client files
Client files get long before anyone reads them
An active Ontario personal auto or commercial file can accumulate dozens of items: ID, dec pages, abstracts, applications, disclosure records, carrier correspondence, and advice notes.
Before quoting, binding, or handing off to a Principal Broker for review, someone has to understand what happened on the file — not just what attachments exist.
Reading every email thread and opening every PDF does not scale across a producer book or a brokerage with twenty licensees.
What AI summaries do in Hivi-X today
Hivi-X AI summaries focus on voice notes attached to client checklists:
- A producer records a call recap on the client file
- Audio is transcribed on self-hosted infrastructure
- AI generates a summary mapped to checklist lines
- The producer reviews the summary before it becomes part of the record
The summary answers: what was discussed, what the client was told, and what still needs to happen — tied to the checklist structure your team already uses.
What AI summaries do not do (honest v1)
Hivi-X does not currently:
- Auto-classify uploaded documents into checklist items
- Extract data from PDF applications into your BMS
- Recommend coverage or make suitability decisions
- Replace mandatory disclosure delivery records
Uploaded files are tracked through checklist status (submitted, approved, rejected) — not AI document matching. Voice → summary is the shipped AI workflow.
Why self-hosted AI matters for Ontario brokers
RIBO's Responsible AI guidance expects brokers to vet AI vendors — including whether client data is sent to third-party models or used for training.
Hivi-X processes voice summaries on infrastructure it operates. Client data is not sent to OpenAI, Google, Anthropic, or similar providers.
Data stays on Canadian servers with AES-256-GCM encryption at rest and TLS in transit — supporting both PIPEDA safeguards and Principal Broker vendor-vetting conversations.
Practical uses for producers and CSRs
- Morning file review — scan summaries to see which files need follow-up
- CSR handoff — understand what the producer discussed before calling the client back
- Principal Broker sampling — spot-check advice documentation across producers
- Renewal season — recap prior-year conversations without replaying old calls
- FNOL intake — capture what the client reported while details are fresh
AI summaries supplement the file. They do not replace signed applications, disclosure records, or TAC quote logs.
Included on Professional plan
Voice notes and AI summaries are included on the Professional plan ($59 CAD/month) and above. Starter ($39/month) includes checklist intake and templates without voice AI.
