RCIC vacation file handoff checklist

RCIC vacation file handoff checklist

RCIC vacation file handoff checklist steps prevent the Friday-before-March-Break panic: three active ITA files, a co-agent who opens a shared drive labeled "Client A — docs?" and no record of what was rejected or why.

College regulations also expect licensees to plan for planned and unplanned absences so clients are not prejudiced — including a written Contingency Plan. Short vacation coverage is an ops problem; longer leave or extended travel may trigger additional designation and client-notice duties. Confirm current College requirements for your situation — this page is operational handoff, not a substitute for that plan.

Pre-vacation handoff steps

StepAction
1Review missing-item dashboard for all active files
2Record voice notes on files with complex context
3Export PDF snapshot for each file nearing submission
4Grant co-agent access with delegation scope defined
5Notify clients of covering contact (firm / retainer policy)
6Confirm covering staff can approve/reject uploads
7Confirm Contingency Plan / designation steps if the absence type requires them

Voice summaries capture what spreadsheets cannot: "Client is anxious about police cert delay from India — follow up if not received by March 12."

What co-agents need on day one of your vacation

  • Missing-item status — not a folder of unreviewed uploads
  • Rejection history — why the employment letter was rejected twice
  • Submission timeline — ITA or other deadline, medical done, police cert pending
  • Client communication tone — formal vs casual, language preference
  • Where originals and property live — so Client Property is not stranded in personal email

Under the Code of Professional Conduct, a licensee must supervise and assume professional responsibility for work done by persons who assist — including covering staff. Handoff tooling does not transfer that duty.

Why email handoffs fail

"Everything is in the shared drive" is not a handoff. Co-agents spend week one reconstructing context from threads instead of approving uploads. Client File Management Regulation themes still apply: accurate, up-to-date records; supporting documents and correspondence on the file; secure, accessible retention after closure.

Dashboard status + voice summaries + PDF export = covering RCIC productive on hour one.

Frequently asked questions

What should an RCIC prepare before vacation?
Operationally: review missing items, record voice summaries on complex files, export PDF snapshots near submission, grant co-agent access, and tell clients who covers. Separately confirm any College contingency or designation steps that apply to the length and type of absence.
How do voice summaries help handoffs?
Voice notes with self-hosted AI summaries capture consultation context — client concerns, timeline sensitivities, and pending IRCC actions — on the file itself.
Should co-agents get access to all files or only urgent ones?
Firm policy decides. At minimum, cover files with hard deadlines, pending uploads, or submission windows during your absence. Licensees remain responsible for adequate supervision of assistants under the Code of Professional Conduct.
What if a client uploads while the RCIC is away?
A covering co-agent can approve or reject from the dashboard when access is granted. Missing-item status updates on the live file — no need to forward inbox chaos to the vacationing RCIC.
Does PDF export replace the full client file?
No. Export is a snapshot of the document package and checklist status. Continue intake on the live file. Client File Management still expects a coherent, retained file.
